iCare Technology ("we", "us", or "our") operates a cloud-based point-of-sale and business management platform designed for businesses in Tanzania and the wider East African region. This Privacy Policy explains how we collect, use, store, and protect information when you use our services.

2.1 Business & Account Information

  • Business name, address, TIN (Tax Identification Number), and contact details
  • Account credentials (email address, hashed passwords)
  • Branding assets such as logos and color preferences
  • Branch and warehouse details

2.2 Operational Data

  • Sales transactions, invoices, receipts, and proforma documents
  • Inventory records including products, categories, pricing, and stock levels
  • Purchase orders and supplier information
  • Stock transfers between branches
  • Customer records (names, phone numbers, addresses, TINs)
  • Payment records and accounting entries
  • Commission and royalty point data

2.3 User Activity Data

  • Login timestamps and session information
  • Actions performed within the application (audit trails)
  • Device information and browser metadata for security purposes

2.4 Communication Data

  • WhatsApp message delivery status for notifications you send through our platform
  • SMS delivery records

3. How We Use Your Information

  • Service delivery: Process transactions, generate reports, manage inventory, and operate core POS features.
  • Notifications: Send WhatsApp and SMS alerts for sales, stock levels, and payment status on your behalf.
  • Account management: Authenticate users, manage roles and permissions, and enforce multi-branch access controls.
  • Analytics & reporting: Generate business dashboards, sales summaries, and margin reports for your internal use.
  • Product improvement: Analyze usage patterns (in aggregate, without personal identification) to improve features and performance.
  • Support: Investigate technical issues and respond to support requests.
  • Legal compliance: Retain records as required under applicable Tanzanian law and tax regulations.

4. Data Sharing

We do not sell your data. We share data only in these circumstances:

  • Service providers: Third-party infrastructure providers (hosting, database, messaging APIs such as Wasender) that process data solely on our behalf under data processing agreements.
  • Within your business: Data is shared across branches and users within your own tenant account per your configured permissions.
  • Legal obligation: When required by Tanzanian courts, regulators, or law enforcement under valid legal process.
  • Business transfer: In the event of a merger or acquisition, with appropriate confidentiality protections.

5. Data Storage & Security

Your data is stored on secure servers. We apply industry-standard safeguards including:

  • Encryption in transit (TLS/HTTPS)
  • Hashed password storage (never stored in plaintext)
  • Role-based access controls limiting staff access to authorized data only
  • Regular backups to prevent data loss

No method of transmission over the internet is 100% secure. We cannot guarantee absolute security but commit to notifying affected businesses promptly in the event of a data breach.

6. Data Retention

We retain your business data for the duration of your active subscription plus a reasonable period thereafter (typically 90 days after account closure) to allow for data export. Transaction records may be retained longer where required by Tanzanian tax law. You may request deletion of non-legally-required data at any time.

As a business account holder, you have the right to:

  • Access the data stored for your business account
  • Export your data in a portable format
  • Correct inaccurate information
  • Request deletion of your account and associated data
  • Restrict certain processing activities

8. Cookies & Local Storage

We use session cookies and local storage strictly for authentication and application functionality (e.g., keeping you logged in, remembering your POS preferences). We do not use advertising or third-party tracking cookies.

Our platform may integrate with trusted third-party service providers to deliver certain features, such as messaging notifications, communication services, and optional integrations you choose to authorize.

Each integration is governed by the respective provider's privacy policy. We only share the minimum data necessary to deliver the service.

iCare Technology is a business tool not directed at individuals under 18. We do not knowingly collect personal data from minors.

11. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via in-app notification or email to account administrators. Continued use after notice constitutes acceptance of the updated policy.
